1. Purpose of This Policy

This Payment, Return & Refund Policy governs the terms and conditions relating to:
  • Payment of fees
  • Refund eligibility and processing
  • Programme withdrawal and cancellation
  • Non-refundable charges
This policy applies to all students, trainees, participants, and clients of AES Academy.

2. Payments

2.1 Accepted Payment Methods

AES Academy accepts payment via:
  • Bank transfer
  • Online payment gateways
  • Credit / debit cards
  • Cash (where permitted)
All payments must be made in Malaysian Ringgit (MYR) unless otherwise stated.

2.2 Payment Obligations

  • Fees must be paid in accordance with the official fee schedule.
  • Enrolment is confirmed only upon receipt of the required payment.
  • Failure to make payment may result in suspension of classes, assessments, online access, or certification.

2.3 Late Payments

AES Academy reserves the right to:
  • Impose late payment penalties
  • Deny access to learning resources
  • Withhold certificates, results, or transcripts until full settlement

3. Non-Refundable Fees

The following fees are strictly non-refundable under all circumstances:
  • Registration fees
  • Administrative and processing fees
  • Learning materials and course resources
  • Software licence fees
  • Equipment usage fees
  • Any costs already incurred by the Academy

4. Student Withdrawal & Refund Eligibility

4.1 Withdrawal Requirements

  • All withdrawals must be submitted in writing to the Academic Office.
  • Verbal notice or non-attendance does not constitute withdrawal.

4.2 Refund Schedule (Where Applicable)

  • Before programme commencement: Tuition fees may be refunded, less non-refundable fees.
  • After programme commencement: No refund.
  • Non-attendance without written withdrawal: No refund.
  • Dismissal due to misconduct: No refund.

4.3 No Refund Will Be Granted For

  • Change of mind
  • Personal circumstances
  • Schedule conflicts
  • Failure to meet academic or attendance requirements
  • Medical reasons (unless required by law)

5. Programme Cancellation by AES Academy

5.1 Cancellation by the Academy

If AES Academy cancels a programme prior to commencement due to operational reasons:
  • Tuition fees paid may be refunded, or
  • Students may opt to transfer to a future intake
Non-refundable fees remain non-refundable unless otherwise stated.

5.2 Force Majeure

No refunds shall be provided for cancellations or disruptions caused by events beyond reasonable control, including:
  • Natural disasters
  • Government directives
  • Pandemics
  • Power, network, or infrastructure failures

6. Short Courses, Workshops & Events

  • Fees for short courses, workshops, masterclasses, and events are non-refundable once payment is made.
  • Transfers or rescheduling may be allowed at the Academy’s discretion.

7. Return Policy (Physical & Digital Materials)

7.1 Physical Items

  • Must be returned unused and in original condition
  • Returns accepted only if defective or issued in error

7.2 Digital Materials

Digital content, online materials, and software licences are non-returnable and non-refundable once access is granted.

8. Refund Process

  • Approved refunds will be processed within thirty (30) working days.
  • Refunds will be made via the original payment method or bank transfer.
  • Transaction, bank, and currency conversion fees are non-refundable.

9. Fraud, Misrepresentation & Policy Breach

AES Academy reserves the right to deny refunds, terminate enrolment, and take legal action if fraud, chargeback abuse, or policy breach is identified.

10. Policy Amendments

AES Academy reserves the right to amend this policy at any time. Updates take effect upon publication on the official website.

11. Governing Law

This policy is governed by and interpreted in accordance with the laws of Malaysia.
